RingCentral Caller ID Integration Data
CallerID.com offers an integration with the RingCentral communications platform that enables real-time caller identification for business phone systems. Through this integration, the following data may be processed:
- Inbound caller phone numbers: The calling party’s phone number delivered via RingCentral Caller ID APIs, used solely to look up and display caller identity information on the subscriber’s screen.
- Caller names: Business or personal names associated with inbound phone numbers, retrieved from our caller ID database and returned to the subscriber’s device.
- Call records / call metadata: Inbound call events (timestamp, caller number, matched name, disposition) logged to enable call history display, analytics, and audit trails for the subscriber’s own business records.
- RingCentral account identifiers: Your RingCentral account ID and extension data used to authenticate and route caller ID lookups to the correct subscriber session.
This data is processed on behalf of, and under the direction of, the business customer (“subscriber”) who has configured the RingCentral integration. Subscribers are responsible for ensuring their own use of caller ID data complies with applicable law.
3. How We Use Your Information
- To process and fulfill orders, handle returns, and provide customer support
- To send transactional communications (order confirmations, shipping notifications, support responses)
- To send SMS notifications you have explicitly requested or authorized
- To perform real-time caller identification lookups for subscribers using the RingCentral integration
- To maintain call records for subscriber business purposes and audit trails
- To improve our caller ID database accuracy and product quality
- To comply with applicable legal obligations
We process personal information only where we have a lawful basis to do so. Lawful bases include: performance of a contract (fulfilling orders, delivering services), legitimate interests (fraud prevention, product improvement), compliance with legal obligations, and, where required, your consent.
4. RingCentral Data: Storage, Retention, and Deletion
How RingCentral caller ID data is stored: Caller phone numbers and associated name data processed through the RingCentral integration are handled in memory during real-time lookup and are not permanently retained by CallerID.com beyond the operational session unless the subscriber has enabled call history logging. Call history records, when enabled, are stored in encrypted form in CallerID.com’s cloud infrastructure located in the United States.
Retention Periods
- Real-time lookup data (no history enabled): Caller number and lookup response are held only for the duration of the individual call event and are not stored persistently.
- Call history records (when enabled by subscriber): Retained for up to two (2) years from the date of the call event, or until the subscriber requests deletion, whichever is earlier.
- Account and subscription records: Retained for the duration of the subscriber relationship plus seven (7) years for business and tax record purposes.
- Order and transaction records: Retained for seven (7) years in accordance with standard accounting practices.
- SMS opt-in records: Retained for four (4) years from the date of opt-in or until opt-out, to demonstrate compliance with applicable messaging regulations.
